Enter the guest’s name and select their type: Adult: 13+ ($60), Youth: 6-12 ($48.60), or Child: under 6 (No Charge).

Click the checkmark to confirm the guest entry.

Repeat for each additional guest.

Use the Special Requests box to list seating preferences, allergies, or other notes. *You must indicate who you want to sit with HERE if you have a preference - tables seat 10 people each.

When finished, click Add Registration to Cart.

Please keep in mind the meal price includes more than just the meal;

Banquet attendees are reminded that we are guests at The Hotel Roanoke & Conference Center. You are

reminded that your behavior directly reflects on the Virginia Championship Hare Scrambles Series and your

fellow attendees. You are also reminded that parents are responsible for their child’s behavior and parents will

be held accountable for any problems their children create. Please make sure that you are aware of where your

children are. This is their banquet as well as the adults and we want everyone to have a good time, but they

must be well behaved. Please know where your children are and what they are doing at all times. No one under

the age of 21 is allowed in the bar area at all and they are not to be running through the hotel. The hotel will be

holding the series responsible for any and all inappropriate actions and damage that occurs on their property.

These actions may prevent us from continuing to use The Hotel Roanoke & Conference Center for our

banquets. Any inappropriate actions could jeopardize your future with the series and any invitations to future

events. We hope we are all on our best behavior to avoid any incidents or injuries. It would be a shame to not

be invited back to this location because of the behavior of a few folks. Please also keep in mind we are not the

only patrons in the hotel.

This event is by reservation only. No walk-ins.

YOU WILL NOT BE ALLOWED TO BRING YOUR OWN BEVERAGES INTO THE

BANQUET.

You are not to be outside of your own personal room with any alcoholic beverage

that you did not purchase from the hotel.

2022 Banquet Info:

Banquet is scheduled for January 14th, 2023 at the Hotel of Roanoke.

Please print and fill out the reservation form found on FB official rider forum or here. Send to Alyson Caraway at address listed by Dec 30th, 2022.

As of now, checks or money orders are being accepted. Hope to get online reservations soon for those needing to use a credit card.

Rooms need to be booked via the LINK listed on the reservation form, 3rd page or calling the hotel by Dec 14th, 2022 to get a discounted rate $109.

This is a holiday weekend and the hotel will be honoring discounted room rates for those that wish to stay Sunday night.

Racers being recognized get priority on attending, however we encourage EVERYONE who wants to attend to join us.

(Buffet Dinner, Awards, Supercross, DJ after party)

To be recognized you must have raced 9 events to qualify for the banquet.

We Would like to announce Dec 3rd @ 10am as the VCHSS Board meeting date.

It will take place at the same location in Amhurst as it has the past couple years.

Seeking 2023 VCHSS Awards Coordinator

The VCHSS is seeking and outgoing, energetic, fun person who loves to be outdoors to apply for the Awards Coordinator position.

The position would be for the 2023 season but would ideally start training and getting acclimated during the second half of the 2022 season.

Below are the awards coordinator's role and responsibilities.

contact and acquire all series sponsors for current season
keep all series sponsors up to date when needed
order all "goodies" for banquet bags for riders
order all helmets and have decorated for banquet
order all jackets and have embroidered for the banquet
order all plaques / cups / number 1 plates for the banquet
oversee the stuffing of rider bags at banquet
oversee the set up of the banquet area for awards at the banquet
oversee / set up sponsor area at the banquet
be sure that sponsors are recognized at each event (banners, flags, etc.)
make announcements at the start regarding sponsors or related topics
send manufacturers report to appropriate manufacturer (this is easily created through the scoring program and then sent to the awards coordinator for their distribution)
create the AMA report
create the series t-shirts, order, get to merchandiser
order and distribute any course markers needed for each event
if the awards coordinator so chooses they can designate some of these to the awards assistant
assist scoring when needed
must complete the online risk management classes through the AMA

· working together to be sure everything is available for each event
· working together to get everything ready and setup at the banquet

Good Day VCHSS Racers, Race Family and Race Friends,

My name is Donald Carawan, I’m heading up looking for a Chairperson for the Horizons for the 2022 VCHSS race season. I’m taking this on because I do not want the Horizons program Not to have a Chairperson and that the Horizons keep running. They are the future Mini, Morning and Main riders of this series. This program is where some of the best riders of this great series has started.

To give all of you out there that do not know me a little background of me; I have been involved and raced in this series with the VCHSS since 1995 -2006 when I had a crash that side lined me for some time know. That did not stop me being involved in the series. I have been a co-promoter of Reddy Hole Hare Scrabble for more than 10 years with Ralph Benhart. In that time, I was Chairperson of the Horizons with my wife for 2 years and have also co-scored with my wife the big bike events Mini, Morning and Main event for 4 years. I have also held an Officers position with the VCHSS as Assist Awards Coordinator for 2 years. In my spare time I have managed to be a coach, mechanic and pit crew for my son that has Won 4 Stroke C Championship and is now one of the top 250 A class riders of the VCHSS.

Enough of that, here is what I’m looking for with help with the Horizons:

1) I’m looking for a Chairperson(s) to take over the Horizons. I will mentor, oversee and help in any way possible to make this easy and fun.

2) Need a Head Marshal that can make all event for the Horizons (if all possible).

· Head Marshals job would be to check the course before each race on Saturday for the integrity of the course, safety of the course and if there are spots that our little riders may need help.

· Line up Marshals to help the Horizons (prefer 5 – 7)

· And anything else they would like to do (help set course up, Start area, etc)

3) Need backup scorer for each event (they write the riders number down as they come through scoring) and to cheer each rider as they come through. Purpose of the backup scorer is if something happens with computer scoring, the race can be recreated.

4) Trail people: help set up and check the courses for the Horizons. The more people and eyes looking at the course can see things that I do not. Bring any concern to my attention and we will look at it and discuss what needs to happen or be done. This is a TEAM effort.

· One thing that the Horizon Chairperson will not have to worry about this year are the trophies. They will be provided for all races this year.

· The Horizons will be using the same scoring system that the Mini, Morning and Main use and it will all be done at the same sign-up table. Horizons will have their own separate scoring system.

· The system is not that hard to learn. We will train more they one person(s) to know the system.

Reserved Rider List

Here is a list of registered numbers as of 2/7/22 .

Please check the accuracy of this list and use the email below for assistance.

These are listed by last name only. If you have several family members, please check each class they have reserved numbers in.

If you see two numbers listed for you in the same class, it means that you earned a number with your year end finish but then reserved a different number in the same class. Let the series know which number you are using so the other number can be released.

If you moved up and earned a number in your old class, please let the series know so we can release the number you are not using.

You must purchase a comp card for your number reservation to be valid. If you didn't pay, the number is still available for someone else to use.

Horizon Riders are registering and receiving numbers through the series this year. Use the same system online to reserve your numbers.

Parts Unlimited Racer Rewards Program

Update on Parts Unlimited/Moose Racing Racer Rewards.

The W9 forms from Parts Unlimited were emailed to the qualifying racers from 2021. If you received an email from Parts Unlimited with the W-9, you must complete and return it to receive your Racer Rewards. Once you complete the form and receive your Racer Rewards, visit your local Parts Unlimited/Moose Racing dealer to redeem them.

2022 Competition Card and Number Reservations

For the 2022 VCHSS racing season, competition cards and reserved numbers can be handled online or in person at our events. You are required to have a VCHSS competition card to participate in our events unless you have another AMA District card. You must have our competition card to earn points.

If you wish to obtain your comp card and reserve your number, please visit http://racevchss.azurewebsites.net/ . This is the same webpage that is used to preregister for our events.

You will need to create an account if you don't already have one and add the riders you are wishing to obtain comp cards and numbers for.

Once you have created your account, are logged in, and added the riders you need to complete transactions for, click the option to "Sign Up!" at the top of the screen. Once that page opens, select the rider you wish to use from the drop down menu. Next, another drop down menu will appear and you can select which event you are registering for. In this case select "VCHSS - Number Reservation & 2022 VCHSS Comp Card" or "VCHSS - Number Reservation 1" The ability to sign-up for a race will not appear until the event date is approaching.
Select what class you will be entering and then select a number from the next drop down menu that lists the numbers for that class.

Only the available numbers should be shown in that drop down menu. Once complete, add the racer to your cart. Do this for each racer. Once you have all your racers in the cart, you can proceed to the checkout to complete the process.

If you already have a comp card and want to reserve a different number for the season you can do that by using the drop down and choosing number reservation. Simply choose the class, and
the available number and add it to your cart. There is no charge for a number reservation, but you do need to follow the checkout process to complete.

The 2022 assigned numbers have been organized. Anyone who had a conflict was contacted and I have been advised all conflicts have been resolved. Please feel free to order your 2022 number plate backgrounds with your assigned 2022 number.

You can verify all of your rider's numbers in the sign-up screen online. Go to https://racevchss.azurewebsites.net/ , login, click sign-up, select your racer, under "Select an Event" select a number check listed that matches your event. IE. if you are a main event rider, select "VCHSS - Main Number Check", select the class you registered for, in the next drop down menu will be your assigned number for that class. I have been advised that it has been checked by a bunch of riders and does work.

Congratulations to the riders who were advanced by the VCHSS for the 2022 season. Below is an attachment with the rider advancement list.

Riders are reminded that the AMA also has a rider advancement process. The AMA 2022 Rider Advancement listing has now been posted and can be found at https://americanmotorcyclist.com/racer-advancement-and.../ . The AMA page also has information on how to appeal the AMA ranking to the AMA.

Any rider who was advanced by any other series, must race in the higher class.

Any rider who has a ranking that is higher than listed on this list, must race the higher ranking.

Any rider previously advanced by the VCHSS must run that previous ranking if it is higher than this ranking.

Any rider who has self promoted to a higher class in any like series, must run that higher ranking in the VCHSS.

Reminder about Graphics

REMINDER: All riders in the Main, Morning, and Mini event who finished 2nd or 3rd, earned a free set of number plates from VCHSS Sponsor, Cor Moto Graphics.

Also, all first place riders in the Main, Morning, and Mini events with the exception of the Sportsman and Trailrider Classes earned a full graphics kit.

Online Sign Up Instructions

1. Go to http://racevchss.azurewebsites.net to sign-up for an account and register for the next event. The ability to register for an event will become available as the event approaches.

2. Click “Register” in the top right corner of the page. Fill out the requested information and click “Register” to create you account. Password will need to contain upper case, lower case letters, a number and be at least eight characters long.

You will receive an email at the email address you registered. Click the link to confirm your email.

3. Once you have confirmed your email address by clicking the link, login to your account.

4. Click on the “Racers” tab at the top of the page to add your racers to your account.

5. Click “Add Racer” and enter the requested information for each racer you wish to sign-up. This information needs to match what the AMA has on file for each racer. You must have an AMA number to register for an event. Visit the AMA site to register for an AMA number and account. Click “Insert” when finished entering the information.

If you need to register for an AMA number please follow this link.

The most common issue here is an incorrect birthday or spelling of name. Please verify that the AMA has the correct birthday and name spelled correctly. If not, update on their site and try adding the racer again.

6. Once all the racers have been added that you want to register, click the “Sign Up” link at the top of the page.

7. Use the drop-down selection menus to select the racer’s name, the event, the class, and the racers number (Please scroll all the way down if you do not see your number immediately). If you have a number already assigned, it will appear in the number space. If you do not have an assigned number, select an available number from the list. Select the racer’s bike manufacturer, enter the bike year and model, and finally click the “Add” button.

8. Once you have entered all the racers you wish to register for the event, click on the “Checkout” button to complete the payment process.

9. Bring your helmet to sign-up at the event so the transponder number can be verified and checked that it is reading correctly.

10. Comp Cards and Number reservations can be completed online as well. You will need to choose the event in the drop-down for comp card and fill out all the required information. A reserved number should be indicated with an asterisk (*). Once complete, add the racer to your cart. Do this for each racer. Once you have all your racers in the cart, you can proceed to the checkout to complete the process.

11. If you already have a comp card and want to reserve a different number for the season you can do that by using the drop down and choosing number reservation. Simply choose the class, and the available number and add it to your cart. There is no charge for a number reservation, but you do need to follow the checkout process to complete.
